Since doing the last big NYC meet in 2013, I've continued hanging out with people here individually and in much smaller groups. I think big major meets work best on either 1) Pico Day or 2) on top of another major event like NYCC. I do agree that in all other cases, they should be more spur of the moment, with little to no advance planning like we once did. A week or two heads up is probably enough time and gives people a chance to request days off and book hotel rooms. I look back now and obviously I gave everyone a 3-4 months heads up. But that's how just about everyone else did things back then. In any case, maybe I should hang outside the defunct ticket counters at the main concourse of Grand Central this Saturday...come say hi if you see me.
